Personal Data Policy 

With this Policy statement, Columbia Hotel Academy ‘s Management declares its commitment and willingness, by acting within the legislation frame and established procedures, to provide and ensure that the personal data of Columbia Hotel Academy ‘s students, stakeholders and partners is processed, collected, recorded, stored or disposed within the terms of the Data Protection legislation and specifically Data Protection Act (DPA) REGULATION (EU) 2016/679. 

Personal data will be:

“a) processed lawfully, fairly and in a transparent manner in relation to individuals;

b) collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes; further processing for research purposes or statistical purposes shall not be considered to be incompatible with the initial purposes;

c) adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed;

d) accurate and, where necessary, kept up to date; every reasonable step must be taken to ensure that personal data that are inaccurate, having regard to the purposes for which they are processed, are erased or rectified without delay;

e) kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed (currently is minimum 2 years maximum 6 years based on the company regulations and/or legal requirements); personal data may be stored for longer periods insofar as the personal data will be processed solely for research purposes or statistical purposes subject to implementation of the appropriate technical and organisational measures required by the GDPR in order to safeguard the rights and freedoms of individuals; and

f) processed in a manner that ensures appropriate security of the personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures.”

Simultaneously, Columbia Hotel Academy declares respect of the rights of individuals (The right of access and the rights to erasure, to restrict Processing, to data portability, to object, to rectification) and commits to respond in requests and complaints from Data Subjects within one month, unless they are manifestly unfounded, excessive or a National legislative measure has been introduced allowing the access to be refused. 

Columbia Hotel Academy commits to keep their data breach identification systems updated at all times, and to follow the notification procedures and response plans as per DPA requirements.

Columbia Hotel Academy has per DPA requirements collect Personal Data which is limited to what is necessary in relation to the purposes for which the data is Processed

The Company also ensures that all staff who Process Personal Data are appropriately trained, allowing them to:

  • be aware of Personal Data Breach
  • Maintain and implement policies and procedures to manage Third Parties with whom Personal Data is shared, or that could affect the security of Personal Data
  • Maintain and implement policies and procedures to manage data processed systems and   quickly recognise, and appropriately respond to, rights requests from Data Subjects as well as identify the identity of the data subject upon request of providing personal data
  • This policy is disseminated to all the staff who Process Personal Data
